The Cleaning Industry Certification Body (OC Propreté) manages 11 professional certifications, representing nearly 4,000 candidates each year, on behalf of the Cleaning and Associated Services sector, which employs more than 550,000 people.
To meet the requirements of France Compétences and modernize its certification processes, the organization now relies on EVOC, a platform developed by Experquiz and Certikeo that centralizes the entire certification lifecycle, from start to finish.
Customer testimonial by Charlotte Lefebvre.
Throughout the project, we always felt listened to. Most importantly, we received a tool that matched what we had requested.
Could you introduce your role within OC Propreté?
I am the Secretary General of OC Propreté, the certification body for the Cleaning and Associated Services professional sector.
Together with a team of six people, we create certifications, register them with France Compétences, and coordinate their deployment throughout France.
We authorize training organizations, coordinate assessors and certification panels, and ensure the smooth running of the entire process through to the awarding of certifications. Every year, nearly 4,000 candidates obtain a certification from the sector.
Why is certification such a major issue for the Cleaning sector?
Cleaning professions recruit many people with limited qualifications or who may face difficulties with basic skills. A significant proportion of employees are from foreign backgrounds and may encounter language barriers.
Social partners therefore wanted to build a genuine certification pathway to enable everyone to develop their skills and have them officially recognized.
These certifications help enhance professional careers. They allow employees to progress, access more stable employment opportunities, or achieve better remuneration. They also provide employers with a reliable benchmark and assurance regarding acquired skills.
Beyond individual career paths, they contribute to the recognition of cleaning professions by demonstrating that they are based on genuine expertise and professional know-how.
What are the main challenges involved in managing a professional certification?
A certification recognized by France Compétences must meet strict requirements. Our role is not limited to organizing assessments; we must ensure compliance across the entire certification framework.
In practical terms, this means creating competency frameworks, implementing quality policies, authorizing training organizations, monitoring assessments, organizing certification panels, ensuring full traceability of each candidate file, and conducting cohort studies requested by France Compétences.
Added to this is all the operational management: candidate registrations, session scheduling, assessor coordination, administrative follow-up, certificate issuance, and more.
With several thousand candidates each year, it is essential to have reliable tools to manage all these operations effectively.
Why did you launch a project to redesign your platform?
Our previous platform had been developed in the early 2010s. It supported us for many years, but it had become increasingly difficult to evolve.
Regulatory requirements had changed, our activity had expanded, and we needed a solution that could support this growth over the long term.
We were not simply looking for a tool to organize assessments. We wanted a true business platform capable of managing our entire certification process: training organizations, assessors, certification panels, candidates, quality monitoring, invitations, certificates, as well as administrative and financial aspects.
We evaluated several solutions on the market, but none fully met our requirements. We therefore chose to start from an existing platform and adapt it to our business needs rather than develop a completely custom solution from scratch.
Why did you choose Experquiz and Certikeo for this project?
We had already worked with Experquiz on an initial platform project. What we particularly appreciated was their ability to listen and understand our needs.
We were coming from a much more complicated experience with another provider, where we struggled to communicate effectively.
With Experquiz, we immediately had contacts who listened to us, understood our requirements, and were able to translate them into technical solutions. This is what gave us the confidence to entrust them with this second project.
We named the application delivered by Experquiz and Certikeo EVOC. It is based on Experquiz's platform capabilities, enhanced with comprehensive features covering the requirements of France Compétences certification management.
How was EVOC designed?
We worked step by step, developing the platform through functional modules.
Each month, a working group brought together the relevant people from OC Propreté and the Experquiz project managers.
After each workshop, meeting notes were produced, the corresponding module was developed, and we tested it before moving on to the next stage.
This approach allowed us to progressively validate the platform, module by module, involving the right people at the right time.
How does EVOC support your activity today?
Everything begins when a company or training organization registers a candidate in EVOC.
The candidate is then assigned to an assessment session, and our teams can review the application, validate it, and monitor its progress.
From this session, the platform enables us to contact assessors in the relevant region, collect their availability, and then send invitations and the necessary documents to both candidates and assessors.
On the day of the assessment, results are entered directly into EVOC. They are then transmitted to OC Propreté, which prepares the files for the joint certification panel.
The social partners represented on this panel make the final decision regarding certification awards.
Once the decision has been recorded, the platform sends result notifications, generates certificates, and stores all information related to the candidate's journey.
It is truly an end-to-end process managed within a single tool, with complete traceability at every stage.
What benefits do you gain today from this new platform?
We have eliminated many manual tasks and centralized information that was previously spread across several different tools.
We have also introduced new features, such as certificate generation with QR codes, which provides greater security, automatic SMS reminders sent to candidates before their assessments, and competency block management, which has become essential since the 2019 reform.
We have gained in reliability, security, and usability. Training organizations tell us that the platform is easier to use than the previous one and that they can quickly find all the information they need. It represents a real change in the way we work.
The platform also makes communication smoother with training organizations, assessors, and candidates thanks to numerous automated processes.
Finally, it enables us to keep all information in one place: candidate files, certificates, agreements, reports, and invoices. This allows us to better meet France Compétences requirements while making information easier to access.
How would you describe your collaboration with the Experquiz and Certikeo teams?
For me, their greatest strength is their ability to understand our needs without overwhelming us with technical terminology.
We are not IT specialists, and we needed partners who could translate our business requirements into practical solutions.
Throughout the project, we always felt listened to. Most importantly, we received a tool that matched what we had requested, proving that our needs had been properly understood.
Since going live, the relationship has continued. Whenever we identify an area for improvement or a new requirement, we discuss it with the teams and work together to find a solution.
We have never been left alone when facing challenges. For us, they are true partners on this project.
What developments do you envision for EVOC?
There are still additional features we could develop to further meet France Compétences requirements.
One of the main areas concerns cohort studies, which involve contacting candidates several months after obtaining their certification to measure their professional progression.
Today, we still carry out much of this work mainly by phone, which represents a significant cost. In the future, we could imagine the platform automating part of this process, for example by sending questionnaires directly a few months after certification.
We will therefore continue to evolve EVOC according to our needs and regulatory developments. This is also the advantage of a platform that is not fixed and can continue to grow and improve over time.
