

Synlab has digitized all of its assessment process and trains new employees to enable them to obtain the necessary authorizations.
We aimed to save time, and it was successful! In addition to this first essential contribution, Expequiz allowed us to develop our processes by optimizing them.
Synlab Gascogne is a private medical biology laboratory, organized around a technical platform at AUCH and 6 peripheral sites located in Gers and Tarn et Garonne in France.
Sabine Génin, quality manager, has been in charge since 2014 of accrediting this structure according to NF EN ISO 15189. The transversality of her function led her to take charge of part of the operational management of human resources, in particular required by the Standard.
To carry out these missions, Synlab Gascogne has been using the ExperQuiz solution since 2020.
Why did you use an LMS platform?
Accreditation is based on recognition of skills, and during the assessments carried out by COFRAC, the initial authorization and proof of maintenance of knowledge are audited as a matter of priority.
However, the process of integrating a person, his training, his authorization and above all the periodic reassessment of skills, are very time-consuming activities for a team of around sixty employees, who can, for certain functions, carry out more than 20 activities. I was looking for a tool that would allow me above all to save time, but also capable of teaching, to ensure that each person assimilates our procedures and understands their usefulness.
Why did you choose to work with ExperQuiz?
Before Experquiz, we had to distribute the documents in paper format, to the employees distributed in the laboratories in two departments. We therefore had to recover them or relaunch the staff, because we did not know not quite where they were, then manually correct assessments, and put a rating.
ExperQuiz made it possible to dematerialize all these steps and offered us comfort in management. For example, real-time tracking of assessments with email alerts and viewing all results for user feedback or deciding which questions to resubmit.
For the user it was also a real added value because for each question of the quiz, he can access a correction, and an explanation if necessary, then his mark at the end of the quiz. They can also go back over their answers to identify where their error lies.
Concretely, how do you use ExperQuiz on a daily basis?
There are two aspects of use. First of all, the integration and empowerment of newcomers, with the use of the "media" module which enabled us to write the employee's roadmaps to define their training course (documents to read, scenarios, the different "knowledge" expected, etc.), depending on the functions. We have also created training courses using videos, which are very practical because they standardize the information to be communicated, while avoiding repeating ourselves x times. The employee watches them and we can devote ourselves to other tasks. At the end of the training period, we distribute a quiz to check that the critical points of the procedures have been assimilated.
The second part concerns the assessment of the retention of skills, which, depending on the risks, is carried out every year or every two years. It is at this level that lies one of the strong features of the tool, which makes it possible to change the questions, at each assessment, according to changes in our procedures, to make them more relevant. This was not done, or only too rarely and involved paper management.
How did you adapt the platform to your issues?
The flexibility of the design of ExperQuiz and the richness of the modules, make it possible to configure the organizational history of each company while improving it. We therefore had no difficulty in using this tool. Other modules, such as surveys, have been modified to manage supplier assessments.The training module also allowed us to quickly manage blood related activity remotely with nurses and doctors in a follow-up and rehabilitation care structure (dissemination of training, documents, quizzes to manage accreditation ).
What do you think of the customer support offered by ExperQuiz?
Customer support is very responsive. We get an answer to our questions within the hour or the next day. ExperQuiz listens to its customers which is very appreciable.
I also like the fact that we regularly receive updates on evolutions or modifications that have been made to the tool. It's square and interesting.
How has the solution made your job easier?
We aimed to save time, and we succeeded! In addition to this first essential contribution, ExperQuiz has enabled us to develop our processes by optimizing them. Indeed, the configuration of the tool led to a reflection period during which we reviewed our needs, restructured our organization and identified the flaws in our system. For example, we noticed that we failed to rehabilitate employees on some of their ancillary tasks. We have also reduced the number of reassessments of skills by accumulating questions by activities carried out by the same groups of people.
What are the user feedbacks?
They welcomed the tool, which is easy to use and intuitive, even for employees who are less comfortable with computers. Young people even take quizzes on their phones. The use of quizzes also induces more communication, questions from employees, who give us oral feedback on the relevance of the questions, or who ask for additional explanations. It is an enrichment that goes both ways.
Would you recommend the ExperQuiz solution? If yes, why ?
Yes, because it modernizes the management of human resources in our profession, weighed down by a system based on evidence, during COFRAC assessments. The SYNLAB network has also invested in the tool at headquarters level and we are also gradually rolling it out to other SELs. Extending Experquiz to other laboratories in our group allows exchanges of quizzes or training materials, always with the aim of saving us precious time and thus better devoting ourselves to employees in the field to optimize our organizations for the benefit of patients.
